Med Spa Software: 12 Platforms Compared for Marketing and HIPAA
A side-by-side look at 12 booking, charting and practice management platforms for med spas, built only from what each vendor publishes. For landing pages that turn visits into consultation requests, see our conversion funnels service.
The right med spa software combines online booking, clinical charting with consent forms, payments, memberships and marketing tools in one system. Its vendor will also sign a business associate agreement if you need HIPAA compliance. Boulevard, Zenoti, PatientNow, AestheticsPro, Aesthetic Record, Moxie and GlossGenius all market med spa charting and HIPAA features. Confirm current pricing and a BAA directly before signing.

What med spa software needs to do
Med spa software is a platform that runs booking, clinical charting, consent forms, payments, memberships and marketing for an aesthetic practice. A med spa is part medical practice and part retail business. General salon booking tools may lack clinical charting, consent management and medical director workflows. Traditional medical EHRs may lack memberships, retail and marketing tools. Med spa platforms try to do both.
- Online booking that works from your website, Google and social profiles, with deposits for high-value treatments.
- Clinical charting: injection mapping, before and after photos, SOAP notes and treatment records.
- Consent and intake forms sent before the visit and stored with the chart.
- Medical oversight workflows such as Good Faith Exams, standing orders and medical director sign-off.
- Payments, packages, memberships and gift cards that bill automatically.
- Marketing tools: automated review requests, email and text campaigns, rebooking reminders and reporting by source.
- Data protection: role-based access, audit logs and a business associate agreement when HIPAA applies.
- Data export so your patient records and history can move with you if you switch.

Platform notes by vendor
Boulevard
Boulevard describes "HIPAA-compliant charting suite, from intake forms and photo markup, to medical director sign-offs and e-prescriptions," alongside email marketing, memberships and loyalty. It lists Shopify, QuickBooks and Meta and Instagram Book Now integrations. Pricing is per location.
Zenoti
Zenoti positions itself as "purpose-built for medspas," with charting, photo documentation, consent forms, e-prescribing and injectable tracking. Its page says the software "provides a Business Associate Agreement and the technical safeguards HIPAA requires." It names HubSpot, Klaviyo, Mailchimp, Podium and Birdeye integrations. Pricing is by quote.
Aesthetic Record
Aesthetic Record is built for aesthetic and wellness practices, with an EMR, integrated payments, online booking and a memberships and loyalty module. Per-user pricing starts at $15 a month with a $399 onboarding fee. Its site mentions Zapier, Aspire, Cherry and RepeatMD.
PatientNow
PatientNow says it "connects scheduling, EMR, payments, memberships, and marketing in one med spa software." It describes its marketing tools this way: "Send targeted email, SMS, review, and reputation campaigns based on treatment history." It also syncs with QuickBooks. Pricing is by quote.
Mangomint
Mangomint lists online booking, forms and charting, and memberships and packages, with published pricing of $120 a month plus $10 per user. We found no HIPAA or BAA statement on its homepage or pricing page. AmSpa's 2026 software comparison says Mangomint does not include EMR or clinical charting, which conflicts with its own feature list, so test charting in a demo if you perform injectables.
Nextech
Nextech says it "helps med spas support HIPAA compliance, Good Faith Exam documentation, informed consent management, and medical delegation requirements." Marketing tools sit in a separate CRM product, and pricing requires a demo.
AestheticsPro
AestheticsPro advertises "500+ ready-to-use forms," secure digital charting and email campaigns with segmentation. It lists "review requests after appointments and monitor feedback to strengthen your online reputation." The $160 monthly plan covers two users, with Google Calendar, Cherry and Zapier integrations.
Vagaro
Vagaro publishes a promotional price of $23.99 a month. It lists EMR, SOAP notes, consent forms and "HIPAA-compliant workflows with role-based access and audit trails," plus email and text marketing and its consumer Marketplace. AmSpa's comparison lists limited HIPAA compliance as a drawback, so ask Vagaro directly whether it will sign a BAA.
Pabau
Pabau says it "is designed for both GDPR (UK/EU) and HIPAA (US) compliance" and lists email and SMS campaigns, recurring memberships and automatic review prompts after treatments. Pricing is per user with discounts for annual billing, but no dollar figure appeared on its pricing page when we checked.
Jane
Jane serves "medical aesthetic clinics, med spas, IV, hydration, and mobile clinics," with a branded booking site, waitlists, charting templates, prompted reviews, packages and memberships. Plans are $54, $79 or $99 a month. Its medical aesthetics page did not mention HIPAA, so check Jane's security documentation.
Moxie
Moxie pairs its EMR with "lawyer-vetted templates for SOPs, standing orders, and patient consents," memberships and beauty bank credits. It says "Moxie is HIPAA attested" and integrates with Allē, Aspire, Cherry and Affirm. Moxie also lists compliance and business support services, and its pricing is not public.
GlossGenius
GlossGenius says "5,000+ aesthetic practices run their business on GlossGenius." Plans start at $24 a month with 2.6% processing, and it provides "a Business Associate Agreement on request." Marketing features include automated rebooking nudges, win-back campaigns, review requests at checkout and Reserve with Google.
HIPAA and business associate agreements
A software vendor that stores or transmits patient health information for a HIPAA covered entity is a business associate. HHS says a covered entity may share that information only if it "obtains satisfactory assurances, in the form of a contract or other written arrangement," known as a business associate agreement, that the vendor will safeguard it.
Not every med spa is a covered entity. HHS says healthcare providers are covered "only if they transmit any information in an electronic form in connection with a transaction for which HHS has adopted a standard," such as billing insurance electronically. Our HIPAA-compliant marketing guide explains the test.
Marketing features to compare
| Feature | Why it matters | What to check in a demo |
|---|---|---|
| Automated review requests | Google says more reviews and positive ratings can help local ranking | Requests go to every patient, not only happy ones, to avoid review gating |
| Online booking from Google and social | Removes phone tag for patients ready to book | Reserve with Google or Instagram booking support, and deposits |
| Rebooking reminders | Prompts neurotoxin and filler patients to rebook | Reminders by treatment type and interval |
| Email and text campaigns | Reaches existing patients who have not rebooked | Consent tracking, opt-out handling and segmentation |
| Memberships and packages | Bills members on a recurring schedule | Failed payment handling and cancellation workflow |
| Source reporting | Shows which channels produce booked patients | Revenue by lead source, not just appointment counts |
Pair these features with the processes in our Google reviews guide, membership program guide and lead conversion guide.
How to choose the right platform
List your must-have clinical workflows
Injectables charting, Good Faith Exams, medical director sign-off, e-prescribing and photo documentation rule some platforms in or out.
Decide whether you need a BAA
If HIPAA applies, remove any vendor that will not sign one.
Model the real monthly cost
Multiply per-user or per-location fees by your team size, then add onboarding, text credits, marketing add-ons and card processing.
Demo with your own scenarios
Book a neurotoxin patient online, chart the visit, sell a membership and send a review request. Time how long each step takes.
Confirm data migration and export
Ask what the vendor imports from your current system and how you can export charts, photos and patient lists if you leave.
Talk to current med spa customers
Ask the vendor for references with a similar size and treatment mix.
Frequently asked questions
What is the best EMR for a med spa?
Choose the EMR that fits your clinical workflows, comparing injectables charting, photo documentation, consent forms and medical director sign-off in a demo. Platforms that describe med spa charting on their own sites include Boulevard, Zenoti, PatientNow, Nextech, AestheticsPro, Aesthetic Record, Moxie, Pabau, Vagaro, Jane and GlossGenius. Confirm the vendor will sign a business associate agreement if you need one.
What is the best booking software for a med spa?
Look for online booking that works from your website, Google and social profiles, collects deposits and connects to charting. GlossGenius lists Reserve with Google, Boulevard lists Meta and Instagram Book Now, and Jane offers a waitlist. Choose a platform that also handles your clinical and membership needs without a second system.
What is the best CRM for medical spas?
Many med spa platforms include CRM features such as segmented email and text campaigns, review requests and rebooking reminders. PatientNow, Zenoti, AestheticsPro, Pabau and GlossGenius describe these tools on their own sites. Some practices add a separate CRM, but check first whether your practice software already covers campaigns and source reporting.
How much does med spa software cost?
Published prices on vendor sites in September 2026 included $23.99 a month promotional at Vagaro, $15 or $19 per user per month at Aesthetic Record and $140 to $328 a month per location at Boulevard. Aesthetic Record, Mangomint and AestheticsPro offer per-user plans. Zenoti, PatientNow, Nextech and Moxie quote pricing individually. Add onboarding, text credits, add-ons and processing fees.
Does med spa software need to be HIPAA compliant?
If your practice is a HIPAA covered entity, any software vendor handling patient health information is a business associate and needs a signed business associate agreement. HHS says providers are covered when they transmit health information electronically in standard transactions such as insurance billing.
Can med spa software send Google review requests automatically?
Yes. AestheticsPro, Pabau, Jane, PatientNow and GlossGenius list review request features. Set requests to go to every patient after every visit. Google prohibits selectively asking only satisfied customers for reviews, so avoid any setup that screens patients first and sends only happy ones to Google.
